How to choose checklist software for hotels
Start by deciding which of the three categories you actually need, because that single choice eliminates five of the eight tools before you sit through a demo.
The three categories, and what each one buys you
Hotel-native platforms (Flexkeeping) are built around room status. You get DND handling, housekeeping assignment by floor or section, and two-way PMS sync out of the box. The cost is scope. If your group also runs restaurants, retail or c-stores, you will buy a second platform.
General inspection and audit tools (GoAudits, Iristrace, Intouch Insight, Full Audits) buy you rigorous scoring, evidence capture and benchmarkable audit reports. They do not ship a housekeeping-assignment model. A room attendant is not a first-class concept in these products.
Multi-vertical operations platforms (Xenia, Operandio, Trail Evo) buy you one system across lodging, F&B and facilities, plus work orders and frontline comms in the same app. The cost is PMS depth. None of the three publishes a hotel PMS integration.

Ten criteria to score your shortlist against
- Category fit. Answer the three-way question above first. Everything else is downstream of it.
- PMS integration: hard requirement or nice-to-have? Stayntouch's hotel housekeeping inspection buyer's guide names real-time two-way PMS sync as its first buying factor and flags per-interface fees as a hidden cost line. Flexkeeping publishes integrations with Mews, Cloudbeds, RMS Cloud, Oracle Opera Cloud, Apaleo and Shiji. Xenia publishes none.
- Offline capture. Guest-room interiors, stairwells, basements, rooftop plant rooms and parking decks are exactly where checklists get filled out and exactly where property Wi-Fi fails. Make the vendor demo it in airplane mode, not describe it.
- Room-level task routing. A checklist that only records is half a product. Ask whether a failed line item creates a work order, whether it routes to engineering versus housekeeping automatically, and whether an unfinished task forwards to the next shift instead of disappearing.
- Photo proof in the exported report. Before and after photos settle the supervisor-versus-attendant dispute. Confirm the image is embedded in the PDF the GM sends to the brand, not just stored in the app.
- Multi-property rollup. For a management company the question is not "can I inspect a room." It is "can I compare property 4 to property 11 on the same rubric this month."
- Department coverage. Most properties need housekeeping, maintenance and F&B on one system. If you run a restaurant, hot-hold logs and line checks belong in the same platform as room inspections.
- Pricing model versus turnover. AHLA's staffing survey with Hireology, published 2025-02-20 across 282 hoteliers, found 65% of surveyed hotels still reporting staffing shortages, with housekeeping the most-cited department at 38%, front desk at 26%, culinary 14% and maintenance 13%. - Vendor corporate stability. Two of the eight tools below changed hands. Ask any shortlisted vendor who owns them and what the integration roadmap looks like post-acquisition.

Room inspections, PPM schedules, work orders, brand-standard audits and shift announcements sit in the same system, filterable by property.
What hotel teams actually use
- Hotel housekeeping checklist templates: room turn, amenity restock and deep-clean sequences built as reusable templates rather than rebuilt per property.
- Brand-standard inspections and audits: conditional logic on every step, so a property without a pool is never scored against pool inspection items and room types drive different question sets without duplicating the template.
- Work order and task management: every work order carries team, asset, location, priority, category and due date, with live progress visible to the GM.
- Corrective actions triggered in-task: a failed room inspection step spawns a re-clean task to housekeeping with a deadline, and escalates to the housekeeping director if it is not closed. Most platforms collect inspection data. Few drive it to closure.

Xenia publishes three tiers on its pricing page: Basic, Pro and Enterprise, all quoted as custom pricing per location rather than a public flat rate. Both per-user and per-site models are available, which matters directly against the 38% housekeeping vacancy rate above. A 14-day free trial is available with no credit card. Enterprise adds implementation and onboarding, a dedicated success manager, public API access, HRIS integrations, SSO and advanced security controls. Observed September 2026.
The honest limitation
Xenia publishes no hotel PMS integration. The integrations page lists more than 50 named connections across HRIS and payroll, SSO, BI and ticketing. It lists no Opera, no Mews, no Cloudbeds. If two-way room-status sync with your PMS is a hard requirement, a hotel-native tool wins on that axis and you should shortlist Flexkeeping. Xenia is also not a PMS replacement. It does not handle reservations, guest billing or revenue management.

The remaining seven tools are listed in the order hoteliers have been comparing them since this page first published. What changed since then is corporate status, pricing transparency, and in two cases the entire product name.
2. Operandio, hospitality-adjacent ops platform

Operandio is a Melbourne-based multi-vertical ops platform, founded 2019, covering digital task management and checklists across front desk, housekeeping, F&B and facilities. It acquired FranchiseLab on 2026-02-02, adding franchise recruitment alongside training, compliance and daily ops. Managing Director David Rigbye framed the goal as an end-to-end platform for franchise operators. Distinctive strengths are a built-in LMS for staff training and onboarding, corrective-action tracking against brand standards, and an offline-capable mobile and tablet app. Pricing is not publicly listed. The pricing page describes a modular model priced on locations, users and modules selected, and emphasizes a pilot program. The hotels and resorts page names TFE Hotels as its only hotel chain, with the rest of the logo wall in restaurants, gyms and entertainment venues. Best fit: multi-site franchise and chain operators, particularly in APAC, who want checklists bundled with an LMS. Weaker fit for a US independent that needs PMS-linked room status.
3. Iristrace, general audit and inspection tool

Iristrace is a Spain-based no-code audit, checklist and inspection platform, with hospitality listed as one sector among retail, public services, healthcare, F&B and petrol-station safety. Its real strength is the scoring model: rigorous, benchmarkable and built for time-series comparison across sites, with evidence requests, control delegation, calendarized inspections and automated inspection reports. That makes it credible for a group that wants to score property 4 against property 11 on a consistent rubric. Pricing is not publicly listed on iristrace.com. Capterra lists a starting price of 11 EUR per user per month with a free trial and no free version, deployed on web, Android and iOS (observed September 2026). Attribute that figure to the Capterra listing, not to Iristrace. The weakness for hotels is vocabulary: there is no room status, no DND handling, no PMS hook and no housekeeping-assignment model. It is a general quality and compliance tool that hotels configure, not a hotel product. Best fit: small to mid-size European multi-site operators who need benchmarkable audit scoring and already run other verticals.
4. GoAudits, the clearest public pricing in the set

GoAudits has the strongest hotel-facing marketing of any general inspection tool here, and the only genuinely transparent rate card. Its hotel inspection page explicitly covers LQA (Leading Quality Assurance) and Forbes Travel Guide standards management, which is a real differentiator for luxury and branded properties preparing for a brand audit. Pre-built templates span housekeeping, maintenance, front desk, F&B and fitness or spa. Offline capture is fully supported across phone, tablet and desktop, syncing on reconnection. Reports are auto-scored and branded. Pricing (observed September 2026 on the GoAudits pricing page): Starter at $10 per user per month and Enterprise at $30 per user per month, both at annual billing. Monthly billing runs 20% higher. There is a 14-day free trial with no credit card, free checklist setup by the GoAudits team, and a 60-day money-back guarantee. The weakness is integration: GoAudits publishes no PMS and no work-order system connections. There is no room-assignment or shift-handoff model. Best fit: branded and luxury properties chasing LQA or Forbes readiness, and small teams that want a low per-user entry price.
5. Full Audits, general audit and action plans

Full Audits is an Argentina-based checklist, audit and digital inspection tool with action-plan management at its center. The offline Android app was last updated 2026-05-29, confirming the product is actively maintained. Core verticals are food companies, services, retail, consultants and construction supervision. Hotels are not a named vertical on the site, which makes this the least hotel-specific option of the eight. Pricing is not publicly confirmed. A pricing page exists at fullaudits.com but plan figures were not retrievable as of September 2026, so this page publishes no number rather than carrying forward a stale one. A 14-day free trial is referenced across the site. The honest framing for a hotel buyer: keep it on the long list only if your primary driver is food-safety and facility audit compliance with formal action plans, not housekeeping throughput. Best fit: Spanish-speaking and LATAM operators who need offline audits and structured corrective action plans, and hotel groups whose checklist program is really a compliance program.
6. Intouch Insight, enterprise audit plus CX

Intouch Insight has been operating since 1992 and runs a product suite covering IntouchShop for mystery shopping, IntouchAudit for operational audits, IntouchCheck for mobile inspections, IntouchSurvey, and the IntouchCX analytics platform. IntouchCheck is active on Android and iOS with no sunset. The hotel operations page covers room inspections, F&B compliance routines, maintenance and safety checks, common areas, brand-standards enforcement and sustainability tracking, with confirmed offline mode for guest rooms, back hallways and outdoor areas. Named hotel customers include Executive Hotels & Resorts, Concord Hospitality, PCH Hotels & Resorts, Sandals, Hotel Madison and Buckhead America. The distinctive strength no other vendor here has: mystery shopping and CX survey data live in the same platform as the operational audit, so guest sentiment and compliance data roll up together. Pricing is not publicly listed, quote-request only. The weakness is the enterprise sales motion and a customer base weighted to QSR and petro-convenience, where hospitality is a secondary vertical. Best fit: large multi-property groups already running or planning a mystery-shop program alongside brand-standards audits.
7. Flexkeeping, now a Mews company

Flexkeeping was acquired by Mews on 2025-09-30, the PMS vendor's thirteenth acquisition, and its product pages now carry "a Mews Company" branding. Sources: the Mews press release and Flexkeeping's own announcement. This is the biggest change on the page since 2024, and it matters to buyers both ways. If your property runs Mews, Flexkeeping is now the deepest-integrated option here. If you run a competing PMS, long-run integration priority is a fair diligence question to put to the sales team. Flexkeeping is the only genuinely hotel-native tool on this list: digital room-inspection and proactive-maintenance checklists, department-based assignment, SOP digitization, Lost and Found, guest-service and feedback management, automated cleaning triggers, a QA suite for brand standards, and Flexie AI automation. Named PMS integrations: Mews, Cloudbeds, RMS Cloud, Oracle Opera Cloud, Apaleo and Shiji. Hotel Tech Report's 2026 housekeeping category ranks it third with an HT Score of 98 and 4.9 out of 5 across 251 verified reviews. Pricing is not publicly listed, quoted per room or per user by property size and requested integrations. The weakness is scope: it is hotel-only, so a group running restaurants or retail alongside lodging needs a second platform. Best fit: boutique and luxury single properties, and above all Mews-stack hotels.
8. Trail, now sold as Trail Evo under The Access Group

Trail is no longer an independent product. The Access Group acquired it in May 2022 and folded it into its Hospitality division, with co-founders Joe Cripps and Wil Grace joining Access Hospitality. The current flagship is Trail Evo, marketed as an intelligent digital checklist and compliance platform and explicitly designed for restaurants, bars, cafes and hotels. Capabilities include digital checklists with photo evidence, temperature monitoring through sensor integrations, incident reporting and audit trails, performance dashboards, and an AI Copilot that answers frontline questions like "what is our allergen policy." It integrates with ePOS and rota systems and sits alongside Access training, HR, scheduling, EPoS and property-maintenance products. Pricing: Trail's own pricing page listed Team from 38 GBP per month, Standard at 75 GBP and Trail Evo at 82.50 GBP per month, with Enterprise unpriced and a free trial available (surfaced September 2026). The Access Group's Trail Evo product page publishes no pricing and routes to a demo request. The weakness for hotels is framing: no PMS integration, no room-status or housekeeping-assignment model, and a UK-first compliance posture around EHO inspections and allergen policy that maps imperfectly to US health-department regimes. Best fit: UK and European hospitality groups with heavy F&B operations, especially those already running Access Group software.

Pick by bottleneck, not by feature count. The eight tools above are not interchangeable, and the fastest way to a good decision is matching your primary constraint to the right category.

Before you shortlist anything, take an honest inventory of what actually happens on property: how many room turns per day, how many work orders flow from inspections, whether your F&B outlet has its own compliance burden, and how many properties need to be compared on the same rubric.
